Before the Sort
- Get Shipping Documents -
- The Product Coordinator for the specific source will forward all necessary shipping documents to the sorters prior to the sort.
- The Product Coordinator will confirm that the source(s) will be delivered in time for the drop.
- See Source Specific Instructions - for each source for additional things to check prior to the sort. Check each source's 'Before the Sort' section that is scheduled for the drop.
- Check the weather. This will determine if the some of the products/coolers can be placed outside, in the garage or in the basement.
- Be in communication with the other sorters and the Sorting Coordinator about when you will be arriving at the drop if you are going to be late and indicate what sorting materials you will be bringing with you. It's always a good idea to bring extra grocery bags to restock our supply.
When You Get To The Drop
- The basement door will be unlocked by 8:00am on drop day.
- The garage is unlocked. Just hold onto the silver handle, and push down while turning clockwise.
- For computer login, the Frederick Admin user information is taped near the computer. Remember when you are logging in with Frederick Admin priviledges, you are ordering and making changes under Admin.
Setup the sorting area
Collect Sorting Materials
- All sorting materials are stored under the stairs in the basement. You will find boxes and bags under the sorting tables.
- Collect Sorting Materails, take each of these to your sorting area:
- Sorting Crate - this is a crate that has pens, tape, paper, ziplock bags, paper bags, etc...all things needed to faciliate sorting. Take this crate to your sorting area.
- Scale(s) - we have 2 75# scalse and 2 smaller 10# and 5# scales. Most likely you will only need the 75# scale(s).
- Please note: The face of the black scale does come off to make weighing heavier items easier.
- Plastic Bags - if needed, there is a big bag of grocery bags to sort items into. They will be located under the sorting table located in the main basement room.
- Organize tables in working order.
- Collect Sorting Materails, take each of these to your sorting area:
Coordinate with Sort Lead
- The sort lead will know all the vendors expected to drop for the day.
- Set up alphabetical order by first name, last initial location for individual orders in drop area. (this can be the lead sorter's job) Label a box or large bag for each member - first name and last initial. If the boxes have any other name, completely mark them out!
Sorting
Open boxes, do not empty them. Find the shipping invoice. This also may have been emailed from PC. Inventory the shipping invoice to the items in the boxes.
Go to the computer and open up the vendor page. Click INVOICES, then scroll to the bottom of the page, click SAVE DATA ENTERED AND SHOW INVOICES, at the top of this page, click SIMPLE SORTING SHEET, (print this page) then go to left, click GROUP ORDER, then PRINTER FRIENDLY VERSION. (print this page)
Take the group order and inventory it to the shipping order. Make note of items missing or not corresponding with the group order.
Use the group order and simple sorting sheet to label items and sort them to individual's boxes or bags.
- Please see the 'At the Sort' section for each source in the Source Specific Instructions section so you will know details on how to best sort each source.
- If needed, weigh each member's 'split' for that item.
- Label the item with the First Name and Last Name Initial (using the permantent marker and masking tape) and put in the member's box.
- Once the item has been sorted to the member's box, 'check off' as complete.
- Once the item is completely sorted, the entire item is 'checked off' the Group Order/Simple Sorting Sheet/Invoices, and initialed to indicate that it is complete.
- IMPORTANT STEP: Perform Final Invoice Processing. The sorter that starts the vendor, finishes the vendor
- Repeat these steps for each source that needs to be sorted.
- Multiple sorters may sort same source, but please do not share same task. High risk of error.
Begin with largest source and the largest items so that larger boxes are started.
Check Source Specific Instructions.
For items split by weight, begin by weighing the smallest amount purchased, allowing the largest order to keep the original container.
Label EVERY item with the first name and last initial with permanent marker before placing in member’s box or bag. May need masking tape labels.
Check off each item when completed.
Once the product is completely sorted, the entire item is checked off the Group Order/Simple Sorting Sheet/Invoices, and initialed to indicate completion.
IMPORTANT STEP: Perform Final Invoice Processing
- As you completely sort each source, go to the computer to perform final invoice processing.
- Log on to our food club system (www.foodclub.org/frederick) as the frederick admin user.
- Go to the specific source in the drop-down box.
- Go to the Invoice Processing page and perform Invoice Processing. (on left)
- This is your opportunity to ensure our system matches the shipping invoice. You will ensure:
- That the Product Coordinator is getting fully reimbursed
- Record out of stock items and price changes.

Ensure that the Product Coordinator is getting fully reimbursed and that the members are charged the correct prices and only for products received. - Click SAVE DATA ENTERED AND SHOW INVOICES
- That the members are being charged the correct prices and only for the products that they are receiving.
- Please see each 'Source Specific Sorting Information' as each source has different Invoice Processing requirements.
- This is your opportunity to ensure our system matches the shipping invoice. You will ensure:
- Email final invoices to members that ordered, so they receive updated totals
Source Specific Sorting Information shows specific Invoice Processing requirements.
Email final invoices to members. Click EMAIL INVOICES WITH ABOVE CUSTOM MESSAGE
Print FINAL INVOICE for completed vendor and place on desk for opener, along with any notes relating to this vendor. This completes the sorting process for a vendor.
Preparing for Pickup
Create Notes For Members With Refrigerator and Freezer Items (If Needed)
- Go to the refrigerator/freezer and coolers and make a sticky note for all members that have items in there for pickup. Create sticky notes to place on member's boxes if they have items in the freezer and/or refrigerator. This serves as a friendly reminder to members to pickup their things in the refrigerator/freezer.
- Place the sticky note on each member's box where appropriate. Go to the refrigerator/freezer in the garage and to make sticky notes for all members that have cold items.
- Place the sticky note on member's boxes.
- Use the Drop Communication Page to document info to be passed onto the Opener or Closer.
- You may additionally email the Opener
- Set up Extras (items purchased under admin user): Each vendor is listed on its own extras sheet.
Mark the item with price and unit of sale and place on bench. For example: for 15 extra pounds of potatoes, bag in 5 pound portions. Label with price and weight. - Get an extra's sheet from the filing cabinet (under basement stairs) for each source.
Create a line for each item and indicate price. Hang the extra's sheet above items on placed on table.
Document Notes for Opener
- As you sort each source, any information that she be passed onto the Opener and/or Closer should be documented.
- Please remember to write legibly and be very thorough in explaining the situation.
Hang Reimbursement Envelopes (Optional)
- This is not a sorting requirement, but if the sort is complete well within the sorting window and there is time, it helps the Opener to have this setup.
- Reimbursement envelopes are located in the filing cabinet under the basement stairs.
- Each source should have an envelope. If not, make note of it for the Opener on the 'Notes for Opener'.
- Masking tape is located in the sorting create.
- Hang the envelopes in alphabetical order, grouping sources with the same Product Coordinator together to allow members the chance to write a combined check for sources that go to the same Product Coordinator.
Clean-up
- Once sorting for the source is complete, return sorting materials to shelf under stairs.
- Collapse large and small boxes for recycling. Stack medium sized boxes under the sorting tables.
- Take inventory on what items need 'restocking' so that we will be ready for the next drop. Leave a note on the inside of the basement door of items needing to be restocked. (volunteer driven)
Leave packing slips and all invoices on the computer table for the Opener. If all sorter items are present at the drop, you may pay for your items when you leave and take your items. Leave your money in the corresponding envelope and check your name off the invoice.

- Final Invoicing will need to be done to adjust the actual cheese prices based on their actual cut weight.
At the Sort
- Use the Simple Sorting Sheet (if there are splits) and Group Order to sort. Follow printing instructions #2 (Printing Simple Sorting Sheet) and #3 (Printing Group Order).
- Put all perishable items in the garage refrigerator.
- After the sort is complete for this source, go to the computer and perform final invoice processing to adjust cheese prices based on the actual cut weight.
- Please note: the scale will do pounds, and then ounces. For instance, it will say 2 lbs 8 ounces. It's not 2.8 lbs. You will have to divide the 8 by 16 (ounces in a pound), and then use that as the total pounds. For instance. A scale reading of 2 lbs 8 ounces, will be 2.5 pounds. Then take the 2.5 lbs and multiply that by the price per pound to get what the member should be paying for their weighed cheese.
- Calculations - Determine the Actual Weight In Pounds - a scale reading of 2 lbs 8 ozs, needs to be converted to pounds. Therefore, do the following calculation.
- 8 oz/16oz = .5. Therefore, Add the .5 lbs to the 2 lbs, and you get the Actual Weight In Pounds = .5 lbs + 2 lbs =2.5 lbs.
- Calculate the (Actual Cost of the Cut Cheese') = (Actual Weight In Pounds) x (Price Per Pound)
- In this example, Actual Cost of the Cut Cheese = 2.5 lbs x $10.00/lb =$25.00
- This is the actual price the member should pay based on their actual weight of the cheese. Since the database is estimating that everyonoe will get a 1lb, 2lb, or 3lb portions, the invoices have to be adjusted accordingly. So...
- In this example, Actual Cost of the Cut Cheese = 2.5 lbs x $10.00/lb =$25.00
- Now, go to the computer, go to the 'Invoices' page. Scroll down to the member's Invoice. See what the member is currently paying for the specific cheese, identified in the 'Item Total' column (last column on the invoice). You will now have to take the difference between what they are being charged for, and what the actual price is. For instance, let's say they are being charged for 3 lbs of cheese at the $10/lb.
- (Invoice Price Adjustment) = (Item Total) - (Actual Cost of the Cut Cheese) = $30.00 - $25.00 = $5
- (Invoice Price Adjustment) = $5, so $5 should be taken off the invoice to indicate that they are only being charged for 2.5lbs of cheese.
- Now, below the member's invoice, you'll see a text box for 'Single User Fee' and 'Fixed Fee Description'. Fill in the following:
- Single-User Fee = -5
- Please note: the negative sign is used when you need to subtract an amount. If you are going to add an amount, you don't need to put anything, the default is a positive number (or addition).
- Fixed Fee Description = taking off $5 since only getting 2.5 lbs of cheese.
- Click the 'Add Single-User Fixed Fee' button.
- Check to make sure the invoice was adjusted correctly.
- Single-User Fee = -5
